Sprouts Farmers Market is one of the fastest-growing retailers in the United States and an important player in the natural foods industry. The company operates more than 216 locations across 13 states with nearly 20,000 associates.
Sprouts Farmers Market has successfully executed an aggressive growth strategy, expanding from 63 stores in 2011 to 1200 planned stores over the next 15 years. This growth has been accomplished through acquisition as well as new store openings, producing a signifi cant volume of hard copy personnel records. In addition, the company experiences a typical retail turnover rate, which left Sprouts’ human resources department with a deluge of paper fi les. This immense volume of documents had become nearly impossible to effectively manage.
The Recall Solution:
The Recall Digital Solutions team partnered with key Sprouts’ personnel to create and implement a turnkey solution to address the challenges associated with the processing and management of large volumes of hard copy personnel records.
Recall’s team of conversion specialists were enlisted to perform a complete backfile conversion of all active and inactive personnel records. Each file was securely imaged and indexed to Sprouts’ specifications.
Additionally, Recall’s conversion team classifi ed each document within each folder(I-9, W4, application, etc.) The digitally converted personnel records were then securely uploaded to Recall’s enterprise content management system – ReView®, powered by OnBase.
The Sprouts human resources team has been empowered with access to personnel fi les at the click of a button. Eliminating paper records from their corporate offi ce and store locations has freed valuable space and signifi cantly enhanced compliance.
Leveraging ReView®, powered by OnBase, Sprouts is able to easily audit their files to identify missing or expiring documents and manage their retention policies.
To further enhance Sprouts’ solution, Recall has developed multiple electronic forms(e-forms) replacing hard copy forms that were previously physically sent from store locations to corporate offi ce. Store managment is now able to complete the forms online, and ReView’s workfl ow engine routes the documents according to Sprouts’ business protocols.
The end result is an easy-to-use, streamlined HR solution that enables compliance and saves valuable time and resources.
